Collaborating with Team on Deals and Sharing Forms

This guide explains how to add team members to a deal, share forms with your team or connections, and configure special permissions for Transaction Coordinators in a clear, step-by-step process.

Adding Team Members to a Deal

Add team members or new agents to a deal to collaborate effectively.

Steps

  1. On the Deal Details page, tap the + icon next to the Buying Team or Listing Team section.
  2. Choose to add:
    • A Team Member: Tap the + icon next to My Team.
    • A New Agent: Enter their email address.
  3. Select their role from the dropdown menu:
    • Team Member Roles: Agent, Showing Assistant, Sales Assistant, Transaction Coordinator, Office Admin, Photographer.
    • Business Network: For external collaborators.
  4. Tap Continue to add the team member to the deal.

Tips

  • Ensure the email address for new agents is accurate to avoid delays.
  • Only roles relevant to the deal should be assigned to maintain clarity.

Sharing a Form with Team Members

Share forms with existing team members to streamline workflows.

Steps

  1. Select the form you want to share from the form list.
  2. On the Form Summary page, tap Share.
  3. Choose recipients:
    • Select an existing team member already added to the deal.
    • Add a new team member:
      • Tap the + icon next to Deal Teams.
      • Choose the team (Buying Team, Listing Team, or My Team).
      • Add an existing team member or tap the + icon to invite a new team member by entering their email.
  4. Assign permissions for each recipient:
    • Highlight the recipient’s name at the bottom.
    • Set permissions: View, Sign, or Edit.
  5. Tap Continue to share the form.

Workflow for Transaction Coordinators

When inviting a Transaction Coordinator, you can grant them the ability to create deals on your behalf. This is useful for agents who regularly work with a dedicated Transaction Coordinator.

  • To enable this feature, tick the Create Deals checkbox before sending the invitation. This grants the Transaction Coordinator permissions to manage deals for you.
